1. Schedule Your FREE Flu Vaccine Today

University Health Services and the College of Pharmacy will be providing UTHSC employees and students with FREE flu vaccines on October 6–9 from 9:00 am – 3:00 pm at the Student-Alumni Center (SAC) on the Memphis campus. Additional dates may be added depending on the supply of vaccines.

Flu vaccines are mandatory this year for all UT employees and students, unless you have documentation to support an exemption.

To schedule an appointment, please call University Health Services at 901.448.5630. No walk-ins will be accepted. Appointments will be scheduled based on these dates:
  • October 6–7: Students only
  • October 8–9: Employees only


Verification of vaccine administration will be provided during the visit. Please retain a copy of this form for your records, as proof of administration will not be readily available.

2. Flu Vaccine Verification

The UT System is requiring all employees to verify that you have received a flu vaccine, or that you are exempt from receiving one. In order to verify you have received your flu vaccine, you can open the IRISWeb portal and follow the Vaccination Verification Form Instructions.

There is also a short Vaccine Verification Form training available on K@TE's website. In order to receive 0.5 hours of credit, you must click through all pieces of the training to receive credit. To access the training, go to kate.tennessee.edu and search "vaccine" in the search bar.

3. Annual Reminder: Check the Code and Report Concerns

Message from Brian Daniels, Chief Audit and Compliance Officer:

Once a year, we remind all UT employees of the Code of Conduct and the responsibility we all have to conduct ourselves in accordance with the highest ethical and professional standards. We ask that you familiarize yourselves with the code to understand its standards and helpful resources, including applicable policies, available training, and methods for answering questions and reporting known or suspected violations of the Code.

Several reporting options are available, including the UT Compliance Hotline—an independent, third-party resource for anonymously reporting concerns of fraud, waste, abuse or non-compliance with laws or university policies. Reports to the hotline can be made by phone or online submission and are investigated immediately.

4. Take the Faculty/Staff Survey

At the UT Health Science Center, we are doing our best to respond to the COVID-19 pandemic. We would like to check in on your personal wellbeing and hear about your experiences during this time. Additionally, your feedback regarding programs and practices are important to our the success of UT during this critical period. 

We have partnered with McLean & Company, an independent HR research firm, to administer a Pandemic Engagement Pulse survey to gather your insights and feedback. You will soon receive an email from McLean & Company (survey@mcleanco.com) asking you to participate in an employee survey. As a third party provider, McLean & Company will ensure the confidentiality of responses and the objectivity of the process is maintained. McLean & Company only shares aggregate results of the survey with UTHSC leadership and not individual responses. No one at UTHSC has access to the raw data gathered by the survey or any individual responses.

The survey is short and takes approximately 5 minutes to complete. We encourage you to take this opportunity to share your honest perspectives and feedback about UTHSC. Your leadership team is committed to understanding and acting on your feedback in order to best respond to this pandemic.

5. Open Enrollment – Now Through October 16

Each year, annual enrollment is your chance to choose benefits or make benefit changes that will be effective Jan. 1. The annual enrollment period for calendar year 2021 coverage is from Oct. 1 - Oct. 16. Even if you do not make changes during the annual enrollment period, it is good to review your enrollment selections each year during this time. If you are happy with your current selections, you do not have to do anything. (Note: The Internal Revenue Service requires employees to re-enroll each year in a flexible benefits plan if desired. This is done separately). 
 
Enrollments, changes, cancellations and review of current insurance selections are made in the State’s Edison system. This year, UT employees can use a link in the IRIS portal to sign into the Edison system without having to remember your Edison ID and password. You can sign into the IRIS portal using your UT credentials and then click on the Edison folder on the top right area of the browser. 
After clicking on this, you will need to accept the State’s acceptable use policy before being directed into Edison. Once in Edison, please use the Higher Ed, Local Ed & Local Gov Employee Self Service (ESS) Instructions for help in navigating the site.
